Position Summary:

The Development and Marketing Coordinator reports to the Chief Development and External Affairs Officer and will work closely with the Development team and other areas at Ackerman. This role is responsible for supporting all Development functions, including the implementation of the annual fund program, project support, and major donor giving programs and marketing initiatives. Responsibilities encompass donor recognition, special events, outreach and correspondence, targeted solicitations, large-scale mailings, research, and relationships in the fundraising database (Raisers Edge), among other responsibilities supporting social media, marketing programs.

Essential Job Functions:

Primary responsibilities include:

  • Work closely with and assist the Chief Development and External Affairs Officer to fulfill the Ackerman Institute’s Development program, including the annual fund, project support, major giving, and special events.
  • Assist with the design and implementation of the annual fund program, including drafting solicitation appeals and impact reports, producing mailing lists from the fundraising database, coordinating with mail houses for large mailings, and ensuring timely completion of projects.
  • Process gifts in the database and prepare letters of acknowledgements in a timely and accurate manner.
  • Assist with preparing impact reports, interim reports, and the annual report.
  • Assist with preparing the annual donor listing, which includes recognition on the Institute’s website and in the annual report and throughout various print materials.
  • Assist in the planning and execution of donor events and programs.
  • Assist in updating and maintaining donor records within the Raiser’s Edge database, as well as optimizing the database as a tool for donor cultivation and stewardship.
  • Conduct research on current and prospective donors, and carefully maintain their records in the database.
  • Assist with entering and maintaining biographical information in the database from a variety of sources including forms, mailings, emails, staff, etc.
  • Assist with maintaining hard copy and digital files for Development and donor records.
  • Research and respond to staff and donor inquiries on records and gifts.
  • Compose general correspondence and provide clerical support, as needed.
  • In all work, ensure accuracy, data integrity, and maintain confidentiality.
  • Provide day-to-day administrative support for the Chief Development and External Affairs Officer, including maintaining donor files and correspondence, processing invoices and statements of support, and responding to email and phone inquiries from donors and prospects, amongst other responsibilities.
  • Take accurate meeting notes and share with team to ensure timely follow-ups.
  • Perform other duties as assigned.

Qualifications

  • High School Diploma or equivalent required; bachelor’s degree preferred.
  • 3+ years of demonstrated experience preferred, preferably in a non-profit organization.
  • Experience with SQL or CRM databases is required. Raisers Edge or other Blackbaud database experience required.
  • Excellent organizational skills and attention to detail.
  • Excellent computer skills including Raiser’s Edge, CRM systems, Google and other
  • Strong verbal and written communication skills.
  • Highly organized with strong attention to detail.
  • Strong analytical, problem-solving, and research skills.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to work on multiple projects simultaneously.
  • Working knowledge of Raisers Edge, or a similar database, is preferred but not required (will train on database).
  • Ability to handle sensitive information in a professional manner and must be able to maintain confidentiality.
  • Ability to function well in a high-paced and at times stressful environment.
  • Can-do positive attitude and team orientation, with ability to interact with diverse people at all levels.

Work Environment:

  • This position will be in-person, based in our office in New York, NY 4 days per week.
  • This position will require you to dedicate 40-hours per week.

Compensation:

Ackerman Institute for the Family offers a generous compensation package which includes:

  • $68,000 – 72,000.00 per year DOE.
